CTRC Scheduler allows you to schedule across all UCH CTRC services—nursing, nutrition, EBL/DXA, Advanced Practice Provider, and cardiovascular imaging—at the same time.

Scheduling Visits:
You can request an MRN here and your participant will be added to the Scheduler system. A confirmation email will be sent to you.
Yes, all patients must be checked out in the Visit Status Dashboard to ensure we are able to monitor the length of all visits and who is in the clinic.
No, but anyone who is associated with that specific study can see the visit on their homepage calendar and an Outlook invite will be sent to the user scheduling the visit.
With CTRC Scheduler, the cancellation of a visit will simultaneously communicate this cancellation to the Nutrition Core.
Comments should be used to communicate information to the relevant cores. Please add the comment to the correct core. Whenever nutrition resources are being scheduled, please include all relevant information in the following template:
If you can see the visit on your calendar in green in Scheduler, it has been confirmed and you do not need to call. Appointments will be transferred to EPIC one week in advance.
CTRC Scheduler Access:
Yes. The website works on PCs and Macs. You must be on a University computer otherwise; you will need to login to the University VPN prior to accessing the website.
Please have the PI complete the access form to add personnel to a study. It may take up to one business day to receive access.
Yes. You can filter the calendar to view a specific study, a specific patient (by searching last name), resource, or the status of the visit (scheduled vs cancelled).
Protocol Builds & Visit Template Updates:
When you schedule the visit, the finalized order of
events will appear. You can also review the order when you view the visit on
the calendar.
We can build two visit types for you- one with the
CTRC’s provider and another without. Please communicate this information to the
CTRC Scheduler team.
How Do I Schedule at Locations that Do Not Use Scheduler?
Go to EPIC Inbasket
Click on New Msg in upper left corner
You are sending the message to: CTRC Scatterbed Resource Requests [10183]
The subject line should be the EPIC ID for your research study (please refer to the RSR). This is typically in a 00-0000 format.
Attach the patient you are requesting to the message in the Patient line by entering their MRN. Or you can search for the patient with first and last name in the Patient Lookup.
In the body of the message, please enter the following Smartphrase: .RSCHSCHEDULINGNP. You can use either F2 or the yellow arrow to move through the required items which appear as ***.
Click Accept to send the message when you are ready.
Upon receiving the request CTRC staff will review the request and respond in a timely manner letting you know if it's approved or if there are questions or issues with your particular request.
Once you have received an approval message from the CTRC, please coordinate with the patient/family for arrival date and time.
Also, after receiving approval, you should now schedule any ancillary services you need for the specific protocol (i.e., MRI, DEXA, YSI, X-ray).
Schedule at National Jewish Health directly by calling 303-398-1409. Call with the following information: Name, DOB, and medical record number (if seen here before).
The National Jewish Health nursing facility is available from 7:00 to 4:00, or later if necessary. Please allow at least one day advance for scheduling.
Schedule at the CU Boulder CTRC facility by emailing the following to ctrcsch@colorado.edu: Subject Line: Protocol Number and Subject initials Email Body: Subject Full Name, Appointment Date & Time, and Visit Number
Requests received after 3:00 pm for the following day visit will not be accepted.
Visits requiring appointments later than 4:00 pm may be arranged with the Nurse Manager.
The CU Boulder CTRC facility is available Mondays-Friday 7:00-4:00, and 1st and 3rd Saturdays of each month 8:00-4:00.
